Sending an invite to a new user
After logging in to Rent Café, select Company Management, then User Management.
- Select the type of User you’re looking for (Residents or Prospects)
- Select all options in the middle drop down. This should be registered, unregistered, and invited (if all three options do not show up, just select what you can.)
- If you have access to multiple properties, make sure you select the correct property for the Resident/Prospect.
- After all 3 drop downs have been filled, hit Search.
- On the right hand side over the User List, you’ll see a search bar. You can enter the name or Yardi code for the user.
- Verify all user information matches Yardi. If the email address is different in Rent Café, please see the attached walkthrough.
- If the name and email address is correct, Select the mail icon on the right hand side. This can be seen in the image below in a red box.
Once the invite button is selected, an email will be sent and the user will be able to register to their account.
Rent Café email updating
If there is ever an issue where a user’s RentCafe email on their profile, doesn’t match their Yardi contacts profile, locate the User the same way you did in the section above, but this time, instead of clicking the mail icon, there will be a pencil.
Once you select this, it will bring you to their profile. From here, you will select Delete highlighted in the image below.
After delete has been selected, it will take you back to the page that lists all users under that property. Simply search their name, verify the email address has updated and matches their yardi profile, and send the invitation as outlined in the walkthrough above.
Resident’s whose name does not match with RentCafe user
Should you ever have a pop up that states Resident(s) whose name do not match with RentCafe user, you should select the box to the right of the name, and select send invite in the bottom right. This is caused by someone having an existing account at another property that may have had a different name listed. The resident will be able to correct their name in their profile upon receiving the invite and logging in.
Yardi email update
If the users email In Yardi is incorrect, go to your property under the Site Manager Dashboard and search for their name. Once you have selected the user and click their name to bring up their Resident Profile, Select Personal info tab on the right hand side, select Edit, and enter their email address in the address field.
Note, this will not automatically update the RentCafe profile. You will have to do the steps outlined above in order to get thie email address to update in RentCafe.
